Project Portfolio Management






OneDesk lets you create projects and group them into portfolios to organize your work. A project can belong to more than one portfolio at a given time, and portfolios can be created in a parent-child relationship for additional organization.


Creating a New Portfolio


To create a portfolio in OneDesk, select the “Add” button at the top of the screen and choose to make a portfolio. You can name your portfolio and also add parent portfolios from existing portfolios as needed. 



You can view your portfolio in the projects application before adding any projects to it. If there are no tickets, or tasks in your portfolio, it will not be visible in the respective application.


For best practice, portfolios should represent different departments or teams which you are handling projects for.


Portfolio Settings and Custom Portfolio Types


To change portfolio settings, go to more applications -> administration -> projects -> portfolios tab. Here you can create up to 10 different types of portfolios and choose what shows up on the portfolio detail panel.



Select “Show Hidden Types” to enable and edit the other 9 portfolio types. These types can be used in automations separately than the default portfolio.


Custom Portfolio Types: An Example


Let’s create a custom portfolio for Marketing projects, and run an automation on items inside this portfolio which assigns all items which are created inside this portfolio to a specific Marketing user in our company.


First, show the hidden portfolio types in the portfolio settings. Let’s rename the “Product” portfolio to “Marketing Portfolio”. You can change the logo and colour as needed. Don’t forget to enable the portfolio so that it is visible. You can also edit or delete portfolios with the pencil and trash icon when hovering over them in the menu.



Now we create a Marketing Portfolio called “Marketing Projects Q1 2022” through the “Add” button to use in our automation.



To make our automation, go to your ticket settings in more applications -> administration -> tickets, and scroll down to the workflow automations section. Select “Create Workflow Automation”. For the items the automation will run on, select any item types, filtered to be belonging to our Marketing Portfolio. The trigger will be when the item is created, and the action will be to assign the item to a specific user in our organization.



Now whenever an item is created inside this Marketing Project Q1 2022 portfolio, it is assigned to the designated user. Since this portfolio is a different type than our standard portfolio, items created in the standard portfolio type are not affected by this automation.
